Most problems in an online shop are small when you hear about them early. Telegram alerts put every new order, supplier error and top-up on your phone the moment it happens, without opening the admin panel.
Two bots, two jobs
GSM X Tool can use two Telegram bots:
- Admin bot: sends you the shop alerts, and posts to your announcement channel.
- Customer bot: your customers connect their account to it and get their own order and wallet updates.
You can start with the admin bot only and add the customer bot later. The settings are on the Telegram tab of Settings › General.
1. Create a bot in BotFather
- In Telegram, open @BotFather.
- Send
/newbot. - Give it a display name, for example "YourShop Alerts", and a username ending in
bot. - BotFather replies with a token that looks like
123456789:AA.... Keep it private: anyone with the token controls the bot.
2. Paste the token
Paste the token into the Admin bot card. The shop checks it with Telegram as you paste, and shows the bot's name and username when it is valid. You never type the bot's name yourself.
3. Link your own chat
The shop has to know which chat to send your alerts to. In the Your chat step, open the link it gives you and press Start in the chat with your bot. The page notices the /start by itself and shows "Linked" with your name. If nothing happens, press Start again in the chat that opened.
4. Choose your alerts
Switch on only what you want to hear about. The alerts come in three groups:
- Orders: new order, order completed, order rejected, supplier error, out of stock.
- Money: customer top-up, funds added by an admin, funds removed by an admin, overdue credit changes.
- Account & system: admin sign-in, new customer, and system notices such as updates and cron.
A good starting set is supplier error, customer top-up and admin sign-in. The first tells you when orders are failing, the second when money arrives, and the third when someone signs in to your panel. If that someone is not you, you want to know at once.
Click Save at the bottom of the settings page when you are done.
5. Optional: an announcement channel
The admin bot can post new services and price changes to a Telegram channel your customers follow:
- Open your channel, then Administrators › Add Admin.
- Search for your admin bot and allow Post messages.
- Back in the shop, the channel appears within a few seconds. Pick it.
6. Optional: the customer bot
Create a second bot in BotFather the same way and paste its token into the Customer bot card. Customers can then connect their account to it and get their order results and wallet updates in Telegram, which many prefer to email.
If alerts stop arriving
- The token was revoked or regenerated in BotFather. Paste the new one.
- You blocked or deleted the chat with the bot. Open it again, press Start, and link your chat again.
- The bot was removed from the channel, or lost the right to post.
